How to approve\reject requisitions? 

The “Approve Requisition” function allows users to reject or approve requisitions before the purchasers starts processing the requisition. There are multiple reasons for why this might be useful.

  • To stop purchasers spending time on gathering quotes on requisitions that is later rejected.
  • To return the requisitions to the creator’s control if certain order details are missing or wrong.
  • To return the requisitions to the creator’s control if more items need to be added

 

How does the “Approve Requisition” function work? 

  1. A draft is created as normal, and the draft is “approved”. Once a draft is approved, the user approving the draft will in most cases lose the ability to alter the draft. In addition, the “draft” is given a “Order number” and is considered a “Requisition”

 

  1. New “Requisitions” are listed/counted under the “New Requisition” column in the order overview. The users who have the responsibility to approve\reject new requisitions (Requisition approver), should review them once they appear in this column.

   

  1. The users who have the responsibility to approve\reject new requisitions (Requisition approver), can double click the Requisition to open it.

 

  1. Review the requisition information (Order lines, account information etc..)

 

  1. If the Requisition approver, agrees with the details the user can click the  [Approve Requisition] button and the requisition is moved from the “New Requisition” column to the “Requisition approved” column. Where the purchasers can pick it up and process it further.

 

  1. If the requisition approver disagrees with something in the order, the user may click the [Reject Requisition] button.   

 

  1. Enter a short description of the reason for the rejection. The reason will be saved in the “Order history”.

   

  1. The requisition is then moved from the “New Requisition” column to the “Rejected Requisition” column.

 

  1. The “Rejected Requisition” status is equal to the “Draft” status in terms of access. So, users onboard (or the draft approver in the office) can adjust the “Rejected Requisitions” as they

can for “Drafts”. (Add\remove items, adjust quantities, change account etc.) They can also [Cancel] the order if required.

 

Once the adjustments have been made the “Rejected Requisition” can be “Re-Approved” returning it to the “New Requisition” column. And the requisition will go through the review process again.
