How to import crew members data on vessel


If you need to import crewmembers data to your vessel database please use "Request for ID" function.
The Request for ID function is used to request previous records for crew that
have been on board other vessels in the fleet or are added directly to the main database.
In these cases the person can’t be found using Search for Personnel and so you must Request for ID.

If you are not sure about crewmembers ID, please ask your Company Office department
as they as they are responsible for inserting crew members to main office database.
We always suggest to use crewmembers dedicated ID instead of Surname while creating "Requests" files.
This is to avoid misspell problem.

"Request for ID" procedure

- Enter OCEAN application with admin user account.
- Click wheel icon on the top right


- Select "Data exchange".


- Select "Request for ID" and click "Next".
- Add request by ID. You can add requests for several IDs. ( Note that it is recommended to request by ID (not name, surname, data of birth to avoid misspells)
- When the personnel which you want to request ID for is added to the list, click "Next".
- Check "On completion take me to the data exchange section in the task status" and click "Finish".
- Click "Download" and save the file to a portable storage device.
- Transfer the file to a computer with Internet connection.
- Create an e-mail and attach the file.
- Send the e-mail to your company's training address.

Important!
Do not change the file name, compress the file or alter it in any way.
Do not add any messages or other requests to the e-mail as it will be automatically processed.

The OCEAN database will reply within the few hours and return with an e-mail containing an nft-file attachment.
Import this file into the OCEAN application using Data Exchange function.
